That last one is often the fastest way to find out whether a vendor is actually ready for your environment.
The Onboarding Question Nobody Asks Until It's Too Late
University clinics run on academic calendars. A vendor who tells you to "plan for 90 to 120 days" for implementation is effectively telling you that you'll be onboarding mid-semester or that you'll have to wait an entire academic year to go live. Neither is a good option.
What you actually need to know from every vendor you're evaluating: What does onboarding look like for a new cohort of 30 students who have never used your system? How long until a first-year student can write a complete note without hand-holding? And what happens when the next cohort comes in six months later? Do you run that training yourselves, or does the vendor support it?
The red flags are easy to spot once you know to listen for them. "Implementation timeline depends on your configuration." "You'll want to assign a dedicated internal resource." "Most practices are up and running within three to four months." These answers mean your clinic director is about to become a project manager for the better part of a semester.
