ASHA's Supervision Standards Are a Software Requirement, Not a Policy Checkbox
ASHA's CAA requires that a minimum of 25% of each patient's total contact time be directly observed by a licensed supervisor, and that all student documentation be reviewed and co-signed by the supervising SLP before it enters the clinical record.1 These aren't internal policies you can track however you'd like. Most generic EMRs handle permissions at the role level, meaning a student with a "clinician" role could technically see any patient in the system. The FERPA layer adds complexity that most software vendors aren't prepared for. If your clinic treats university students as patients, FERPA applies to those records, not HIPAA. If you also serve the general public, HIPAA applies to those records. Ask these questions before you invest serious time in a demo:
- Can you restrict caseloads at the patient level, not just the role level?
- Do you support MFA and IP-based access filtering?
- Have you previously passed a university IT security review?
If the answer to the first one is "we can configure role-based access for you," that's not the same thing. Don't let the conversation move forward without a clear answer.
The Cohort Onboarding Problem Repeats Every Semester — Does Your Software Account for That?
University clinics run on academic calendars. A new student cohort arrives every semester. Every cohort needs to be functional in the clinical system by the first week of the clinic term, or patient care stalls while students find their footing.
If onboarding a new cohort takes two to three weeks, that cost doesn't happen once. It repeats every semester for as long as you use the software. Do the math: three weeks of onboarding overhead, twice a year, means six weeks of every year where supervising faculty are absorbed in training rather than clinical work. Programs that don't think through this usually feel it by semester three.
Implementation timeline matters for the initial rollout, too. A 4 to 6-month implementation timeline doesn't fit neatly between semesters. If a vendor can't give you a concrete 60-day path to a live system, you need to plan for that transition hitting mid-term, which is exactly when you don't want it.
Questions worth asking every vendor: What does cohort onboarding look like from your side? Who provides the training, your team or ours? How long before a new student is functional? Is there per-cohort support built into what we're paying, or does that fall to us after go-live?
A good answer sounds like: basics mastered in a couple of hours, guided training for each incoming cohort, system live within 60 days. A bad answer involves phrases like "it depends on your configuration" or "plan for a dedicated IT resource."
What Students Learn Inside Your EMR Is Part of Their Professional Training
Here's the connection most programs don't fully account for: the clinical software your students use during their graduate practicum isn't just an administrative tool. It's professional preparation. What they learn in your university clinic EMR carries directly into their Clinical Fellowship and their first job.

What to Look for Before You Sign Anything
